Diploma Apostille

Do you need to obtain an apostille on your Diploma?

Are you heading to another country to work or study? Were you asked to obtain an apostille on your Diploma? 

Before your Diploma can be submitted for an apostille, it should be signed and notarized by the Registrar first.  If your University, College, Trade School, or High School does not have an in-house notary public, you should bring a mobile notary public to your school to meet with the Registrar.

To begin the process, contact your School’s Registrar’s Office first and let them know that you require an original or color copy of your diploma to be signed and notarized. The Registrar’s office may ask you to mail your original diploma to the school or email them its color copy. Some schools require that you purchase a new diploma from the school. While most schools have a commissioned public notary, some schools don’t have one on staff. In this case, you can arrange for a mobile notary to come to your school and meet with the Registrar. The notary must apply appropriate notarial laws of his/her State for the State office to apostille your diploma. 

There is a couple of ways for a diploma to get notarized:

1. The Registrar certifies the diploma with a hand-written or typed declaration and the Notary witnesses the signature of the Registrar. An example of standard wording, in this case, could be like: “I, Marsha Jackson, Registrar of XYZ University, certify that this is a true and original copy of David Smith Master’s Diploma”.   It is quite common that the notarization is performed on the back of the diploma to allow space for the attestation, Registrar’s signature, and the notarization.

2. Another way of notarization used less frequently is when the University itself prepares a draft of attestation on the University letterhead with a statement and signature of the Registrar, the Notary’s stamp, signature, and notarial affidavit.

Always check if an original of a diploma or a color copy is required before you have it notarized as some countries may not accept notarized color copies. Once you get your diploma notarized, you can mail it to our office for apostille service.
